Introduction

HCM Extracts is a flexible tool for generating data files and reports. This topic covers how we can use the extract components to define what information we want the application to extract and report on. It also explains how the application displays, formats, and delivers the information.

The various components of a HCM Extracts are:

  1. Extract Definitions

  2. Data Groups

  3. Extract Records

  4. Attributes

A brief detail of each of the above mentioned component follows:

Extract Definition

An extract definition refers to the complete setup of an extract, that consists of extract data groups, criteria, records, attributes, advanced conditions and output delivery options. An extract definition consists of:

  1. One or more extract data groups, depending on how many logical entities you want to extract.

  2. One or more extract records depending on how many groups of information you want to collect.

  3. One or more attributes depending on how many individual fields of data you want to collect.

Available Output Types of HCM Extract

We use HCM extracts to extract, archive, transform, report, and deliver high volumes of HCM data from the Fusion HCM database.

We can generate the output in the following formats:

  1. CSV

  2. Data

  3. EFT

  4. Excel

  5. Excel 2000

  6. Excel 2007

  7. FO

  8. Flash

  9. HTML

  10. MHTML

  11. PDF

  12. PDFA

  13. PDFX

  14. PDFZ

  15. PowerPoint 2003

  16. PowerPoint 2007

  17. RTF

  18. Text

  19. XML

Delivery Type

We can distribute the extracted information by e-mail, fax and other delivery modes. Some common examples of extracts are: PDF pay-slips delivered to employees' mailboxes, payroll or benefits data transferred to third-party service providers, HR and talent data exchange between Fusion and legacy applications, for example in a coexistence scenario.

The various delivery types available for HCM Extracts are:

  1. Documents of Record

  2. E-Mail

  3. FTP

  4. Fax

  5. File System

  6. HCM Connect

  7. HTTP

  8. None

  9. Printer

  10. WebDav

Data Groups

Extract data groups represent a business area or logical entity, for example person, assignment, or benefits. The application uses this information to retrieve the database item groups. We can define one data group as the primary or root data group and this data group is the starting point of the data extraction.

Extract data group connections capture the association details between the current data group and the parent data group. The data group connections form the hierarchical relationship among the data groups.

We can define a set of filtering conditions the application must perform on an extract data group using the extract data group criteria. We may even specify the criteria conditions using an expression or fast formula.

For Example, In the below screen-shot Work Structures is the Root or Primary Data Group and all other are child data groups.

Extract Records

Extract records represent a grouping of related data or a physical collection of all fields required in the extract. For example, the Employee data group can have records such as Basic Details, Pay Details, Location Details, and Primary Contact. An extract record is a collection of attributes which you can organize in a required sequence. For example, if a data group has 3 records, then you can specify the sequence in which the application processes the records. Also we can identify the next data group which is supposed to be processed by the application by selecting the next data group to identify which data group the application processes next.

Attributes

Attributes are the individual fields inside the extract record. An attribute is the lowest attribute level of a HCM extract and represents a piece of information, for example, person first name, person last name or person date of birth.

For example if we have a Worker Extract which comprises of a Worker Data Group which has two Extract Records (Basic Details and Assignment Details) and the former comprises of two data-fields say Person Number and Person Name and the latter (Assignment Details Extract Record) comprises of Assignment Name and Assignment Number then the extract definition would look as below:

That’s all about a very brief description of various extract components and in case you all are interested to explore more and create a Custom HCM Extract from scratch do go through this article. Hopefully this would be helpful. Good Luck!
